Deliverability: how to send outreach without burning your name

The best email in the world has a zero percent reply rate if it lands in spam. Deliverability is not a technical footnote. It is the foundation every outreach program stands on, and it is where most programs quietly fail in month two without anyone noticing. Here is how it works and how to protect your name while you send.

Why your main domain is off limits

Your company domain carries every email your team sends: invoices, contracts, customer support. If cold outreach from that domain gets flagged, all of it suffers. Separate sending domains that redirect to your site take the risk instead. If one gets burned, you retire it. Your real domain never touches cold volume.

Warming, and why it takes weeks

A new domain has no reputation. Mailbox providers watch how it behaves: how much it sends, how often it bounces, whether people reply, whether they mark it as spam. Warming means sending small, growing volumes of real, replied-to email for three to four weeks before any campaign volume. Skip it and the domain is flagged in days. This is why the first message out takes about three weeks, and why the list and the message get built during that time.

Verification before every send

Every address checked against a verification service before it enters a sequence. Bounces are the fastest way to lose a domain. Keep them under two percent, and treat anything higher as a stop-and-fix, not a statistic.

Volume caps and sending patterns

A mailbox that sends 500 emails at 9 a.m. looks like a blast tool. One that sends 40 spread through the day looks like a person. Cap daily sends per mailbox, spread them, and add mailboxes rather than pushing one harder.

Authentication

SPF, DKIM and DMARC set up correctly on every sending domain. This is table stakes now. Mailbox providers increasingly reject mail from domains that skip it.

Suppression and consent

Every unsubscribe honored across every campaign, forever. Do-not-contact lists applied before sending, not after a complaint. Reply "not interested" treated as an unsubscribe. This is both the law in many places and the single biggest protector of your reputation.

A person watches it weekly

Bounce rate, complaint rate, reply rate and inbox placement, checked by a person every week, per domain and per mailbox. When a number moves, the sending pauses and the cause gets fixed. Deliverability left to run blind is deliverability that fails.
